Position Purpose:
The Executive Assistant and Office Manager will work closely with the Executive Director and other senior leaders to provide administrative support and manage office operations.
This role is essential for ensuring the smooth and efficient functioning of the office and supporting the executive team in achieving their goals.

 

Responsibilities

Primary duties will include:


• Provide comprehensive administrative support to the Executive Director and other
senior leaders, including managing calendars, scheduling meetings, and handling
correspondence.
• Coordinate office workflow and streamline operational processes to improve
efficiency.
• Oversee office operations, including managing office supplies, equipment, and
facilities.
• Assist in the preparation of reports, presentations, and other documents as needed.
• Manage travel arrangements and itineraries for the executive team.
• Handle confidential information with discretion and professionalism.
• Support the Executive Director in managing client relationships and
communications.
• Assist in the organization and coordination of company events and meetings.
• Oversee the operations staff and interns, and stay current on staff performance and
issues.
• Maintain prompt and regular attendance with operations personnel.
• Perform other duties and responsibilities as needed.

Qualifications

To land this role you will need:


• Proven experience as an Executive Assistant, Office Manager, or in a similar role.
• Excellent organizational and time management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and as part of a team.
• High level of discretion and confidentiality.
• Strong problem-solving skills and attention to detail.
• Ability to manage multiple tasks and prioritize effectively.
• Familiarity with CRM systems (Salesforce) and office management software.
