Position Purpose: The Marketing Operations Specialist – Non-Retail EMEA is responsible for managing and overseeing all Non-Retail marketing requests originating from EMEA marketing managers, regions, and brands. 

This role serves as the dedicated EMEA counterpart to the existing US and APAC Non-Retail Marketing Operations Specialists and is accountable for the planning, resourcing, prioritization, and operational delivery of all Non-Retail EMEA initiatives. 

The role partners closely with global functional leads across Copy, Design, Social, Video/Production, WebOps, and Acquisition to ensure projects are scoped correctly, resourced effectively, delivered on time, and aligned with global marketing governance standards. 

This is a highly operational, cross-functional role focused on workflow management, resource alignment, delivery oversight, and stakeholder communication within a fast-paced, regulated environment. 

Responsibilities

Primary duties will include: 

Regional Ownership – Non-Retail EMEA 

  • Act as the single point of contact within Marketing Operations for all Non-Retail EMEA marketing requests. 
  • Manage intake, prioritization, and end-to-end trafficking of all EMEA Non-Retail initiatives. 
  • Ensure all work aligns with global marketing processes, KPIs, and delivery standards. 
  • Balance regional needs with global resource availability and capacity constraints. 

Workflow & Project Management 

  • Oversee and manage all EMEA eForm submissions and ensure accurate scoping and routing. 
  • Create and manage associated Jira tickets required to execute projects. 
  • Track task progress, manage timelines, and proactively resolve bottlenecks. 
  • Ensure all projects have effort estimates and actuals tracked to improve forecasting and capacity planning. 
  • Monitor and manage urgent or last-minute stakeholder requests with clear prioritization rationale. 

Resource Planning & Capacity Management 

  • Identify required skill sets for upcoming initiatives and secure appropriate resource allocation. 
  • Continuously assess capacity against deadlines and adjust assignments as needed. 
  • Escalate resourcing gaps and propose outsourcing or alternative solutions when required. 
  • Maintain regular check-ins with functional teams and EMEA stakeholders to ensure alignment. 

Stakeholder Communication & Governance 

  • Facilitate regular prioritization sessions and update meetings with regional and global stakeholders. 
  • Maintain transparent communication regarding delivery timelines, risks, and trade-offs. 
  • Establish and maintain dashboards to provide visibility into workload and status. 
  • Ensure all documentation and project files are stored and maintained in approved systems (SharePoint, Jira, dashboards). 

Process Improvement & Operational Excellence 

  • Monitor and continuously improve workflows based on stakeholder and team feedback. 
  • Explore and implement Jira automations and workflow enhancements. 
  • Support development and enforcement of global Marketing Operations best practices. 
  • Ensure alignment with global governance frameworks across all regions. 

Regulatory Responsibilities 

  • Maintain high ethical and professional standards in all activities. 
  • Ensure compliance with applicable regulations across EMEA jurisdictions. 
  • Identify operational risks and recommend improvements to strengthen controls. 
  • Ensure accurate and up-to-date documentation across all project management platforms. 

Qualifications

To land this role you will need:

  • 5+ years’ experience in Marketing Operations, Project Management, or Campaign Trafficking within a high-demand, digitally driven environment. 
  • Experience in financial services (regulated environments) or global digital agencies preferred. 
  • Proven track record managing multi-channel digital campaigns and cross-functional marketing initiatives. 
  • Strong experience with Jira and Confluence (mandatory). 
  • Demonstrated experience in resource planning and workload management. 
  • Strong stakeholder management and communication skills. 
  • Highly organized, detail-oriented, and proactive. 
  • Ability to prioritize effectively in a deadline-driven environment. 
  • Experience working across time zones and global teams. 
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Project).
