Position Purpose:

 

Coordinate the coffee import process and re-exports, managing shipment documents, sending instructions to warehouses and accordinate with them for the operational tasks to be executed for guaranteeing smooth deliveries to our client. 

 

Customer service oriented, keeping clients informed in all the stages of their deliveries. 

Responsibilities

Primary duties will include:

 

  • Keep Instore/Delivery coffee clients inform about their shipment and delivery status.
  • Coordinate the import process with european coffee warehouses to have the coffee available to our clients 
  • Coordinate the re-export process from European ports to another countries within our outside the European Union
  • Provide best in class customer service to coffee clients, coordinating coffee deliveries and keep the clients informed in all the stages of the contract executions. 
  • Coordinate with the warehouse the arrival to instore process within the free time to avoid demurrage/detention charges at destination and have the coffee available to clients as early as possible.
  • Coordinate offer samples to be sent to clients as per Trader´s request and keep the sample track file duly updated with samples sent and results received.
  • Request to warehouse to send arrival samples to clients as per client´s requirements and follow up the approvals for deliveries.
  • Issue proforma and final invoices to Instore/Delivery clients in the system withing delivery contractual period and once the coffee is sample approved.
  • Follow up the payment with clients with “DO VS CASH” payment terms for final release.
  • Coordinate with Accounting the issuance of final invoices for clients with DO VS Cash payment terms once client´s payments are received to proceed with the final release.
  • Issue EUDR and RFA documents to instore/delivery clients when the contract requires to do it.
  • Keep Fintrade updated with Arrival, inventory and delivery information.
  • Save and archive delivery documents on shared folders per releases.

Qualifications

To land this role you will need:

 

  • A degree in Administration, international commerce or related fields. 
  • Min 2 year working experience. 
  • Result-driven & resilient; ability to excel in a fast-learning environment. 
  • Strong ability to prioritize tasks in order to get things done, timely. 
  • Strong analytical capabilities. 
  • Adept computer skills and medium level of Microsoft Excel. 
  • Sound interpersonal and communication skills. 
  • Customer service oriented.
  • Excellent language skills in English written and verbal (must have), other languages are a plus
  • Organized and detail-oriented with High standards of accuracy. 
  • Team oriented in multicultural work environment.
